Working the door

Door mode, working offline, photo badges, "Do not admit", and what to do when you're not sure.

6 min readVersion 1

At the door you're the club's first welcome and its last check. Colors gives you what you need for both, and nothing more: no legal names, no addresses, no reasons behind a restriction.

Like every role beyond member, you need a second factor (a passkey or an authenticator app) set up on Security before you can use door mode. Do it before the night.

Opening door mode

Open Door mode. It opens six hours before a published event starts and closes when the event ends. If two events overlap, it shows the earlier one.

When the signal drops

Door mode keeps the guest list on your phone, so it carries on working in a basement with no signal. The bar at the top says Online or Offline, and when offline, what time the saved list is from.

  • The phone stores, for each guest: scene name, ticket type, status, photo preference, whether they're 18+ verified, and a yes or no for "restriction on file". Nothing else.
  • Check-ins you make offline are kept on the phone and sent when the signal comes back. Use Sync now to send them straight away.
  • Check-ins sync under the volunteer who made them. If you hand the phone to someone else and they sign in as themselves, your check-ins wait until you sign back in.
  • When the event ends, the guest list is deleted from the phone.

Checking someone in

Choose Scan with camera and point it at their QR code, or type a code or scene name into the box. Typing filters the Expected tonight list.

The card shows their scene name, ticket type and status, and a large photo badge: NO PHOTOS, FACES BLURRED or PHOTOS OK. Guests who aren't members always show NO PHOTOS. If someone's taking pictures tonight, this is what they need to know.

If it says Admit, choose Check in.

In an 18+ club, if a member hasn't been age-verified yet, you'll see I checked their ID (18+). Check their ID, then tick it. Check-in stays off until you do, and once ticked the member is marked verified for good, so only tick it after you've actually looked.

Do not admit

If the card says Do not admit — restriction on file, there's no check-in button. Don't let them in, and get the safety lead. You won't see why, and you shouldn't guess or discuss it at the door. Be polite, be brief, and let the safety lead handle it.

When you're not sure

  • Pending approval or Declined: you can't approve tickets at the door. Get the event lead.
  • Already checked in at…: someone may be sharing a code. Get the event lead.
  • Needs a look: another door checked them in first. Get the event lead.
  • No ticket found: try typing their scene name. If they're still not there, get the event lead. There are no walk-in sales at the door.
  • Anything else: don't admit yet. It's always fine to ask someone to wait a minute while you get the event lead.

Check your understanding

4 questions. Get them all right to pass; you can try as often as you like.

1. The card says "Do not admit — restriction on file". The guest asks why.
2. You're in a basement with no signal. Can you keep checking people in?
3. A member's card shows "I checked their ID (18+)". When do you tick it?
4. A guest's ticket shows "Pending approval". What do you do?
