Your privacy here

Scene name and legal name, who can see what, and how to check who has looked.

4 min readVersion 1

Colors is built so that being a member here can't out you. This guide explains what the club can see about you, who can see it, and how you can check.

Two names, kept apart

You have a scene name and a legal name. Your scene name is the one everyone sees: on the member list, at the door, in meeting minutes, on the ballot ledger.

Your legal name, date of birth, email, phone and address are stored encrypted, separately from everything else. Only two roles can open them:

  • the membership chair, who needs them for vetting and records
  • the treasurer, who needs them to match a bank deposit or a payment

The president can't read them. That's deliberate: being senior isn't the same as needing to know.

Every read is logged, and you can see the log

Before an officer can see your legal identity, they have to type why they need it. The reason, their scene name and role, and the time go into the club's audit log first. Then the details show for 30 seconds and hide again.

You can read that log for yourself. Open My privacy and look at Who has read your legal name. If no one has, it says "No one, so far". If you download your own data, that shows up too, as you.

A treasurer matching a bank deposit doesn't open anyone's record: Colors checks whether the name on the deposit matches a member without decrypting anything, and only scene names come back. That lookup is logged in the club's audit log, not on your page, because it isn't a read of your record.

What other members see is up to you

Everything on your profile starts hidden. On My privacy, under What other members see, you can turn on:

  • List me in the member directory
  • Show my pronouns
  • Show my bio
  • Show a profile photo
  • Show my neighborhood or city

Until you turn on the directory, other members won't find you in the member directory. Officers who manage members still see you on the full roster, because that's their job.

Photos of you

Choose No photos, Faces blurred or Photos OK under Photos of me. The default is No photos. Your choice shows next to your name on rosters and attendee lists, and in large letters on the door volunteer's screen, so whoever is taking pictures at an event knows.

Your own copy

Download my data on My privacy saves everything the club holds about you, including your legal identity, tickets and payments, as a file. To leave the club and have your data deleted, ask the membership chair.
